Welcome Address
Dear CAOS enthusiasts:
This is a direct invitation to all our industrial partners to attend and contribute to our academic
meeting in London in June 2011.
The opinion leaders in the field surgical navigation and robotics will be there from around the
world, with a strong local faculty in support from London where computer assistance and robotics have a strong heritage stretching back 20 years. The 11th meeting of the International Society for Computer Assisted Orthopaedic Surgery will be held in the Mermaid Conference Centre
at Blackfriars in London between June 15 and 18, 2011. The conference centre is right on the
River Thames, just beneath St. Paul's Cathedral and across the river from the Tate Modern, and
Globe theatre among other attractions.
While the design and performance characteristics of modern orthopaedic devices have continued to improve, the abilities of surgeons to achieve the results that their patients expect and
deserve have not improved to the same extent. The problems of hip resurfacing and knee arthroplasty are particular examples of procedures where CAOS systems might have been game
changing for orthopaedics, delivering a quality control in the operating theatre that has long
been accepted as the norm in industry. The challenge still remains, and is indeed an imperative
for all providers of healthcare. We know that the eyes of the insurance companies and health
services are on us: they want surgical navigation and robotic quality, and need us to help them
show that higher quality surgery is a realistic prospect, without a huge increase in the price in
the current environment.
As a key industrial partner, you are warmly are invited to present your products in the exhibition area of the Mermaid Conference Centre, and during the workshops where surgeons are already looking forward to getting hands on to the latest technological solutions to an increasingly complex world.
The successful preceding meetings in Davos, Santa Fe, Marbella, Chicago, Helsinki, Heidelberg,
Montréal, Hong Kong, Boston and Paris have set a high standard of quality educational and industrial workshops, and live video surgeries. The meetings usually attract in excess of 400 attendees delegates and their partners have enjoyed the meetings and social programmes where
so many ideas and friendships can develop in a way that is hard in the normal working week.
The 2011 Annual Meeting already has the makings of an excellent event, leading surgeons from
every continent, and a British and European workforce hungry for the technical offerings that
industry can bring to the field.
I do look forward to welcoming you to London in June, for a meeting that will be profitable for
all who come.

General Remarks
All costs of the exhibition and sponsoring options are in Euro (€) excluding VAT. Options that are
available in limited quantities will be given away on a “first-come, first-served basis”. The date of
receipt of the signed contract will determine the “first-come, first-served” basis.
CAOS-International Corporate Sponsors will receive a 10% discount on workshops and exhibit

Each exhibition and sponsoring option includes the following general benefits

Exhibit Space
€ 600 per m2
The scientific program of the CAOS 2011 event will be complemented by an industrial exhibition.
Corporate partners will introduce participants to state of the art of computer assisted orthopaedic
technologies and products. Exhibit space is available in multiples of 3m2. Minimum exhibit
space size is 9m2. In addition a fixed sized booth of 6m2 is offered at € 4,000. The renting
of the exhibit space gives the exhibitor the right to:
• Exclusively use the stand for the full duration of the exhibition and the periods of setup
and dismantling.
• Free registration of one company representatives. The number of additional free registrations depends on the size of the rented exhibit space. Additional registrations of company
representatives may be purchased at reduced corporate rates.
• Each exhibit space comes with one table, one chair, and one power outlet (British socket).
Additional infrastructure/equipment can be ordered separately.
Hands-on Industrial Workshops

As part of the program of the CAOS 2011 event corporate partners may offer hands-on industrial
workshops show casting their products. Each workshop room is equipped with chairs for participants, one table with two chairs for the workshop presenters, and one power outlet (British socket).

§1 – Part of Contract: These rules and regulations constitute a bona
fide part of the Contract for Sponsorship and Exhibit Space. The Exhibit
Manager reserves the right to render all interpretations and decisions,
should questions arise, and to establish further regulations as may be
deemed necessary to the general success and wellbeing of the overall
exhibit area. The Exhibit Manager’s decisions and interpretations shall
be accepted as final in all cases. Infractions of these rules on the part
of the exhibitor or by any of his/her representatives may subject the
exhibitor to dismissal from the exhibit area. In this event, the exhibitor
or representative shall make no demand for redress.
§2 – Exhibit Spaces: Each exhibit space will include one table, one
chair, and a power outlet (British socket). Additional infrastructure/equipment can be ordered separately. Information regarding
drayage, shipping, and receiving of materials, as well as setup/dismantle guidelines will be sent upon receipt of the signed contract.
§3 – General Exhibit Area Rules: Consideration for fellow exhibitors
is necessary. Accordingly, the following regulations will be strictly
enforced: (1) Noisy and/or undignified displays, including sound devices, flashing lights, megaphones, loud speakers, and/or sideshow tactics
will be prohibited. In the event of a dispute, the Exhibit Manager’s
decision will be final. Any noise creating devices shall be operated at a
level that will not interfere with other exhibitors. Exhibitors may be
asked to accept specific assignments to reduce any interference. (2)
Displays will not be allowed to be arranged in a manner that makes it
necessary for the exhibitor, or representatives thereof, to stand in the
aisle in front of the booth in order to conduct sales; nor shall they be
set up to extend beyond the space limits of the booth. (3) No part of
the building shall be defaced in any manner, nor shall signs or other
articles be posted, nailed, or otherwise affixed to any pillars, walls,
doors, or other parts of the building. Any damage incurred (including
damage to any carpeting) will be the responsibility of the exhibitor. (4)
Direct selling which involves the exchange of funds, within the exhibit
areas by any exhibitor or their agents, is strictly prohibited.
§4 – Space Assignment: Space assignments will be made on a “firstcome, first-served” basis. The date of receipt of the signed contract will
determine the “first-come, first-served” basis.
§5 – Deposit and Payment: Applicants for exhibit space are required
to fill out and forward the formal application and contract provided. Any
exhibitor who fails to make payments when due expressly waives all
rights in the reservation of and use of space. The Exhibit Manager shall
have full right to consider this contract terminated, and retain as liquidated damages all monies paid and to lease the space so reserved to
another exhibitor. The date of receipt of the signed contract followed by
a 30% payment (non refundable deposit) will determine the “firstcome, first-served” basis and the remaining 70% should be paid before
February 1, 2011.
§6 – Use of Space: No exhibitor may assign, sublet, or apportion
his/her space in whole or in part, nor exhibit any products or services
other than those manufactured or handled in the normal course of
his/her business, nor permit any agent of any non-exhibiting firm to
solicit business or take orders in his/her space. Only those firms, which
have engaged in contracting exhibit space, will be allowed to display
advertising materials or signs, and to make solicitations for business.
Special written arrangements with the conference manager should be
made in advance if two or more firms wish to exhibit in a single space.
§7 – Exhibit Installation/Dismantle: Installation is set for Wednesday, June 15, 2011 from 13:00-18:00. A final detailed schedule for the
installation will be provided by ConCoord GmbH2. No packing of equipment, literature, etc., and/or dismantling of exhibits will be permitted
until the exhibit area officially closes on Saturday, June 18, 2011 at
13:00. All exhibits must vacate the premises by 18:00, on June 18,
2011.

§8 – Insurance: It shall be the responsibility of each exhibitor to
maintain insurance against injury to person or damage or to loss of
property in such amounts as the exhibitor shall deem adequate. Insurance protection will not be offered to the exhibitor either by the conference committee, the sponsors or ConCoord GmbH.
§9 – Liability: All organizations or individuals who are employed by or
associated with the conference in connection with this exhibition will
not be responsible and shall be held harmless by all exhibitors for
damage or loss resulting from fire, theft, or any cause whatsoever,
including accident or injury to exhibitors, their employees, agents, the
public, and others. The exhibitor agrees to pay promptly for any and all
damage to the exhibition building or its equipment incurred through
carelessness or otherwise, of exhibitor, its employees or agents.
The conference committee, the sponsors, or ConCoord GmbH will not
be held responsible for damage incurred to exhibitor’s property, or lost
shipments either en route or afterwards, nor for costs of shipping.
Damage resulting from inadequately packed property is the exhibitor’s
responsibility. If an exhibit fails to arrive, the exhibitor remains responsible for the exhibit space rental.
§10 – Security: Standard security protection will be provided. The
exhibit area will not be locked during non-exhibiting hours. The Conference Committee, the sponsors, and ConCoord GmbH will not guarantee exhibitors against loss or damage of any kind. This is an open booth
show and the primary responsibility for safeguarding your property is
yours. The Conference Committee, the sponsors, ConCoord GmbH, or
any of their officers, agents or employees, assume no responsibility for
such property (see §8 and §9).
§11 – Booth Cancellation: (1) If a company/organization cancels its
contract for booth space or workshop participation prior to February 1,
2011, the company/organization will be responsible for 30% of the
rental cost. (2) If a company/organization cancels its contract after
February 1, 2011, the company/organization will forfeit all monies paid
and are responsible for paying the full cost of the booth rental space.
All cancellations must be made in writing. No refunds will be made for
exhibit space not used or only partially used.
§12 – General Provisions: (1) The organizers reserve the right to
alter the dates, times, and site of the event or to cancel the event at all
times, if this is a consequence of exceptional circumstances which have
arisen through no fault of their own, without this giving the exhibitors
and sponsors any right whatsoever to claim compensation from the
organizers for any damages, in whatever form or for whatever reason
such damages may have arisen. (2) The exceptional circumstances
referred to in section 1 include: (a) insufficient interest on the part of
participants, (b) disagreement within the branches of industry concerned, (c) fire, (d) a national disaster, which circumstances, in the
opinion of ConCoord GmbH and after weighing the interests of all
parties, could endanger the success of the event. (3) Changes in dates,
times and site such as referred to above do not give the exhibitors and
sponsors the right to completely or partially cancel their applications.
(4) If the event is cancelled, then the applications shall be regarded as
cancelled and any payments made by the exhibitors and sponsors will
be reimbursed, after deduction of expenses already incurred for the
organization of the event up to a maximum of 20% of the total of each
exhibitor’s and/or sponsor’s fee. (5) Under no circumstances can an
exhibitor or sponsor claim any right to compensation from ConCoord
GmbH for damages as a result of a decision such as described in section 1 of this paragraph. (6) If the event includes both a congress and
an exhibition, these will be considered two separate events. They can
never be regarded as one event. Separate general terms & conditions
shall apply to each event. (7) If during the congress an exhibition is
organized, the Sponsor and Exhibit General Terms & Conditions apply
to the latter. You can apply for these terms at ConCoord GmbH. (8) In
the case of cancellation at his own request, the exhibitor or sponsor is
obliged to reimburse any other costs incurred by ConCoord GmbH. The
exhibitor or sponsor cannot claim compensation for any loss suffered
directly or indirectly as a result of the provisions in this paragraph.
